Policies Regarding Transportation Services

- The vehicle must have a full gas tank upon return.
- If the vehicle does not have a full gas tank, the department or organization that checked out the vehicle will be charged $6.00 per gallon service charge for Parking and Transportation staff to fill up the vehicle.

- Trash found in the vehicle will result in a $25.00 service charge to the department or organization that checked out the vehicle.

- Students may not drive vehicles unless they are employed by the University and are over the age of 18 and possess a valid driver’s license. If it is a vehicle rented from Enterprise, the age requirement is 21.
- Student Organizations wishing to use vehicles are required to have a Faculty/Staff driver.

- State vehicles may only be used for official use only to drive to and from a specified activity with only necessary stops for meals, fuel, and rest. Shopping excursions, sightseeing, and other activities are not permitted unless they are pre-approved portions of the itinerary. No relatives, unless also employees or students at CNU, are allowed to ride in a University vehicle. Hitchhikers are also forbidden.
- Staff and faculty members who are convicted of a moving violation while operating a state vehicle will lose the privilege of using state vehicles. Upon proof of satisfactory completion of the eight-hour National Transportation Safety Council Defensive Driving program, or equivalent, they may request reinstatement of driving privileges.
- Staff and faculty members who have their driver’s license suspended or revoked may not use state vehicles until they have their license reinstated and upon proof of satisfactory completion of the eight-hour National Transportation Safety Council Defensive Driving program or equivalent.

- Cancellation of a reservation within 24 hours of reservation will result in a $25.00 charge to the department or organization of record.
- Failure to return a vehicle on time will result in a charge of $5.00 for every 15 minutes past due to the department or organization of record.
- Incomplete documentation will result in a $25.00 charge per occurrence to the department or organization of record.
- If delayed return of a vehicle results in the Parking and Transportation Office renting a vehicle from Enterprise (assuming no other state vehicles are available), the offending department or organization will also be responsible for the full rental fee from Enterprise for the next driver, plus the already mentioned late fees.
- Loss of gas cards will result in cancellation and replacement charges placed against the account of the department or organization which used the vehicle. Gas card use should comply with CNU regulations. Misuse of credit cards will be considered as theft of state property.
- Late return of gas cards will result in a $25.00 fine per occurrence to the department or organization of record.

- Operators are responsible for the safe parking and security of CNU vehicles. Parking along non-residential streets or highways is only permitted in the event of mechanical failure or emergency. Operators are responsible for fines if a vehicle is improperly parked. Long term parking at airports is generally not permitted as this significantly reduces utilization.

- Smoking is prohibited in vehicles. A charge of $25 will be assessed per occurrence to the department or organization which used the vehicle if it is found that someone was smoking in a vehicle.
- Pets are prohibited in vehicles. A charge of $25 will be assessed per occurrence to the department or organization which used the vehicle if it is found that a pet was in a vehicle.
